Dead Signal Privacy Policy

Version 1.1 — Effective 29 August 2026

This Privacy Policy explains how Dead Signal processes personal information when people use its Discord bot, web dashboard and related community-management services. Dead Signal is an independent third-party service and is not operated by Discord.

1. Controller and contact


Dead Signal is operated by Fiora Butcher, an individual operating in the United Kingdom, who acts as controller for personal data processed to operate the Dead Signal service where applicable. Business/contact address: 74 Earlsbury Gardens, B20 3AG, United Kingdom. Privacy enquiries and data-rights requests: Butcherfia@gmail.com. A Discord server owner or administrator may separately be responsible for decisions about information they choose to collect through their community workflows.

2. Information Dead Signal may process


Depending on enabled features, Dead Signal may process Discord user IDs, usernames, display names, avatars, server IDs and names, roles and permissions, membership information, voice-channel metadata, interactions/command data, language preferences and other Discord information necessary for requested features.

Dead Signal may also process information users or authorised server staff submit through recruitment applications, leave requests, suggestions, operations, tasks, achievements, treasury records, commendations, LFG posts, giveaways, reminders, moderation cases, warnings and support tickets.

For customer accounts and commercial features, Dead Signal may process account identifiers, connected servers, plan and entitlement information, checkout orders, promo-code usage, Signal rewards and legal-policy acceptance records. Dead Signal does not currently collect payment-card data because payment processing is not connected. If a payment provider is introduced, this policy will be updated to identify the relevant processing before live payments are accepted.

3. Message content


Most Dead Signal features do not require general message-content collection. If a server enables a feature requiring Discord Message Content access, such as the prohibited-word filter, relevant message content may be inspected to perform that feature. Dead Signal is designed to avoid retaining the full offending message in moderation logs where possible. Server administrators control whether optional content-dependent features are enabled.

4. Purposes and legal bases


Personal information may be used to provide requested bot/dashboard functions; authenticate users; enforce permissions and entitlements; operate recruitment, community and moderation workflows; maintain security and prevent abuse; keep necessary audit/operational records; provide support; maintain backups; administer orders and rewards; and comply with legal obligations. Where UK data-protection law applies, the legal basis may include performance of a contract or pre-contract steps, legitimate interests in operating and securing the Service, compliance with legal obligations, and consent where consent is required. The applicable basis depends on the processing activity.

5. Sharing and processors


Information may be processed through Discord because Dead Signal operates as a Discord application and through infrastructure providers used to host, secure and maintain the Service. A payment provider may be added later and will be identified before live payment processing. Information may also be disclosed where required by law or reasonably necessary to establish, exercise or defend legal rights or protect users and the Service. Dead Signal does not sell personal data.

6. Retention schedule


Dead Signal follows the principle that identifiable personal information should not be kept longer than necessary. The following are operating targets and may be shortened when data is no longer required or extended where a legal obligation, dispute, fraud/security investigation or other documented lawful reason requires it:

- Customer account and entitlement records: while the account is active, then normally up to 24 months after closure, except records needed for legal/accounting purposes.
- Recruitment applications and ordinary community workflow records: while needed by the connected community, with inactive or disconnected-server records targeted for deletion or anonymisation within 12 months unless removed earlier or legitimately required longer.
- Moderation cases, warnings and security/audit records: normally up to 24 months after the relevant event, subject to earlier deletion or a justified longer security/legal need.
- Support tickets and related correspondence: normally up to 24 months after closure.
- Checkout orders, completed transaction/accounting records and legal acceptance records: normally up to 6 years where retention is reasonably required for accounting, tax, contractual, fraud-prevention or legal-claims purposes.
- Promo-code and Signal reward ledger records: while the customer account/reward balance is active and afterwards for as long as needed to preserve transaction integrity, resolve disputes or meet applicable legal/accounting needs.
- Backups: retained on a rotating schedule configured for service recovery; deleted information may remain in a backup until that backup rotates out, after which it should not be restored except where necessary for legitimate recovery.

Retention periods are reviewed and data may be deleted or anonymised when no longer necessary.

7. Security


Dead Signal uses access controls, server-side authorisation, audit records and other technical and organisational measures intended to protect stored information. No online service can guarantee absolute security. Users and administrators should protect their Discord accounts and grant the bot only permissions required for the features they use.

8. Your UK data-protection rights


Subject to applicable conditions and exemptions, individuals may have rights to request access to their personal data, correction, erasure, restriction, objection, and data portability, and rights concerning certain automated decisions. Where processing relies on consent, consent can generally be withdrawn without affecting earlier lawful processing. Requests may be sent to Butcherfia@gmail.com and reasonable steps may be taken to verify identity before disclosing or changing personal information.

You also have the right to complain to the UK Information Commissioner's Office if you believe your data-protection rights have been infringed.

9. Young people


Dead Signal operates within Discord communities and follows applicable Discord age requirements. Dead Signal does not intentionally require community members to provide unnecessary personal information. Server owners should avoid requesting unnecessary sensitive information through custom forms. Paid Dead Signal purchases are intended to be made by an adult customer or by/with a parent or legal guardian where required.

10. International processing


Discord and infrastructure providers may process information in countries different from where a user lives. Where UK data-protection rules require safeguards for restricted international transfers, Dead Signal will rely on an applicable lawful transfer mechanism or provider safeguards as appropriate.

11. Cookies and sessions


The dashboard may use cookies or similar session technology that is necessary for authentication, security and maintaining a signed-in session. If Dead Signal later introduces non-essential analytics, advertising or other optional tracking technologies, this policy and any required consent controls will be updated before they are used.

12. Changes to this policy


The current version and effective date are published on this page. Material changes will be reflected in a new version and, where appropriate, communicated to customers or acknowledged during checkout. Historical checkout records retain the policy version associated with the order.
